How to Run a Multi-Outlet QR Redemption Campaign
A QR redemption campaign lets customers claim rewards instantly at any participating outlet — no paper, no manual checking, no fraud risk from photocopied vouchers. Here is how to plan, set up and run one that actually works.
Why QR Redemptions Work Better Than Paper
Before QR redemptions became standard, businesses ran reward campaigns through physical vouchers — printed, stamped and distributed in person or by mail. The problems are familiar: customers lose them, staff cannot verify whether they are genuine, photocopies get accepted, and operations has no real-time view of how many have been redeemed.
A QR-based redemption system solves all of these. Each reward has a unique digital code. When a customer presents it at the outlet, staff scan it and the system validates it in real time — confirming it is genuine, unused and within the permitted redemption window. The transaction is recorded instantly and is visible to head office immediately.
For multi-outlet businesses, this matters most. A campaign running across 10 locations needs consistent validation everywhere. With QR redemptions, the process is identical at every outlet and the data is centralised — so there is no waiting for paper reconciliation at campaign close.
Step 1: Define the Campaign
A QR redemption campaign needs clear parameters before anything is set up technically. Define these before touching the platform:
- What is the reward? — a discount, a free item, a prepaid value, or entry to an experience
- Who is eligible? — all customers, registered members only, new customers only, specific segments
- Which outlets will participate? — all locations, selected branches, specific regions
- What is the campaign window? — start date, end date, active hours if relevant
- Are there redemption limits? — one per customer, total campaign cap, daily outlet limit
- What happens at expiry? — unused rewards expire silently or customers are notified
The more precisely you define these parameters upfront, the easier the system configuration and the fewer edge cases you will encounter at the outlet level.
Step 2: Configure Outlets and Access
In AcceClaim, each participating outlet is registered in the system and assigned to the campaign. This controls exactly which locations can validate which rewards — preventing customers from redeeming a campaign offer at an outlet that has not opted in.
Each outlet is also given staff login credentials for the validation interface. When a customer presents their QR code, the outlet staff member opens AcceClaim, scans the code and sees an instant accept or reject result. The system records the staff member, outlet location and timestamp automatically.
For larger outlet networks, AcceClaim supports bulk outlet configuration — so setting up 50 locations takes the same time as setting up five.
Step 3: Issue the Digital Coupons or Vouchers
Once the campaign is configured, rewards are issued to eligible customers. Depending on the campaign type, this can happen in different ways:
Batch issuance
Upload a list of customer IDs or email addresses. AcceClaim generates a unique QR code for each customer and distributes rewards in bulk — suitable for member-only campaigns or corporate benefit programs.
On-registration issuance
A reward is automatically issued when a customer registers, makes their first purchase or completes a qualifying action — suitable for welcome campaigns and referral programs.
Stamp trigger issuance
When a customer reaches a stamp threshold (e.g., 8 stamps), a reward QR code is automatically generated and made available for redemption — suitable for ongoing loyalty programs.
Each issued reward has a unique QR code that is linked to the specific customer, campaign and eligible outlet set — making it impossible to share across customers without detection.
Step 4: Train Outlet Staff on the Validation Process
The QR validation process is simple, but staff need to know what to do when the system shows an error. A well-briefed team is the difference between a smooth campaign and outlets calling head office multiple times a day.
The core process is straightforward: customer presents QR code → staff scans → system shows accept (green) or reject (red with reason) → staff acts on the result. Training should cover what each reject reason means — expired campaign, already redeemed, wrong outlet — and how to respond to customers in each case.
For campaigns with high expected traffic, it is worth running a test redemption day before launch — confirming that every outlet’s device can access the platform and that the validation flow works correctly at each location.
Step 5: Monitor Redemption Performance in Real Time
One of the key advantages of a QR redemption system is the real-time visibility it provides during the campaign. In AcceClaim, the campaign dashboard shows:
- Total rewards issued vs total redeemed (overall utilisation rate)
- Redemptions by outlet — identifying top-performing and underperforming locations
- Redemption velocity over time — daily or hourly patterns
- Any flagged or rejected redemption attempts at each outlet
- Outstanding reward liability — how many issued rewards are still unredeemed
This data allows operators to make real-time decisions — extending the campaign for an underperforming outlet, alerting an outlet whose redemption rate looks unusually high, or communicating mid-campaign to remind customers whose reward is about to expire.
Step 6: Close and Reconcile
When the campaign window closes, all unredeemed rewards are automatically invalidated by the system. Any customer who tries to redeem after the end date receives a clear expired message — no manual intervention from outlet staff.
Campaign reconciliation in AcceClaim is a report export, not a spreadsheet exercise. Total redeemed, total expired, redemptions by outlet, redemptions by day and customer-level redemption records are all available immediately. This data feeds into marketing review, finance reconciliation and planning for the next campaign.
Common Mistakes to Avoid
No outlet testing before launch
Always run a test redemption at each outlet before the campaign goes live. Connectivity issues, device compatibility and login problems surface during testing, not in front of customers.
Vague campaign parameters
If the campaign rules are ambiguous — which outlets are eligible, whether the reward can be combined with other discounts — staff will make inconsistent decisions. Define every edge case before launch.
No redemption limit per customer
Without a per-customer redemption limit on broadcast campaigns, some customers will attempt to redeem multiple times. Set a limit in the system at configuration — do not rely on staff to catch it manually.
